This policy explains how My Desk Coworking Solutions handles personal data collected on mydesk.pt, in contact forms, in online sign-up and in the client area.

1. Data controller

My Desk Coworking Solutions, a brand operated by António Vítor de Abreu Domingos, tax number (NIF) 229090575, tax address Travessa do Paço, 208, 4.º andar, 4835-089 Guimarães. 2. What data we collect

• Contact and visits: name, email, phone, company, preferred date and message.
• Online sign-up: company or holder details, legal representative and beneficial owners, contacts for mail alerts and the documents sent (ID, proof of address, permanent certificate, RCBE).
• Virtual Office: a photo of the outside of the envelopes and parcels received, for the mail alert. We never open the contents.
• Client area: login email and the temporary code sent to log in.

3. Why we use it

• To answer enquiries and book visits.
• To prepare, sign and perform coworking and Virtual Office contracts.
• To meet legal obligations, including customer and beneficial owner identification under Portuguese Law 83/2017, and tax and accounting obligations.
• To notify clients of incoming mail by email, WhatsApp and in the My Desk client area.

4. Legal basis

Pre-contractual steps and performance of the contract, compliance with legal obligations and, where applicable, your consent, which you may withdraw at any time.

5. How long we keep it

Contact requests are kept for up to 12 months. Contract and identification data are kept during the contract and for the legal periods that apply after it ends. Envelope photos are deleted when the contract ends.

6. Who we share it with

Only with providers that help us deliver the service, as far as needed: website and form hosting, email, messaging, document management and accounting. Also with authorities when required by law. We do not sell personal data.

7. Your rights

You may request access, rectification, erasure, restriction, portability or object to processing by writing to wantinfo@mydesk.pt. You may also lodge a complaint with the Portuguese data protection authority, CNPD (www.cnpd.pt).

8. Security

We use encrypted connections (HTTPS) and restricted access to client data and documents.
